Donahue Fitzgerald, a mid-sized full-service East Bay law firm is seeking a Human Resources Coordinator to perform confidential administrative tasks across multiple HR functions while providing a high level of customer service.

Duties and Responsibilities:

  • Provides administrative support to Human Resources Director, as needed
  • Review all non-exempt timecards to ensure accuracy and compliance with the firm’s policies on make-up time, meal period and overtime policies
  • Review time and attendance and payroll reports for accuracy and communicate with accounting regarding changes
  • Process personnel action forms for new hires, terminations, benefits, and employee status changes
  • Enter employee changes in ADP Workforce Now
  • Audit payroll and benefit records on a regular basis to ensure accuracy and compliance with firm policy and state and federal payroll laws
  • Prepare and manage pre-hire and new hire paperwork
  • Conduct new hire orientation
  • Coordinate benefit information for new hires
  • Reconcile and audit monthly carrier invoices
  • Answer employee questions regarding payroll, benefits and human resources policies and procedures
  • Train and assist employees with time and attendance and benefits software
  • Create and produce monthly human resources newsletter
  • Partner with Operations Director on firmwide employee events
  • Other duties as assigned

Education:

  • High school diploma or GED, required
  • Associate Degree or Bachelor’s degree preferred

Knowledge, Skills and Abilities:

  • 3+ years of experience as a human resources generalist, preferred
  • Prior law firm or professional services experience, preferred
  • Prior experience with ADP Workforce Now or another payroll program, required
  • Highly proficient in Microsoft Word, Excel, PowerPoint, and Outlook
  • Knowledge of Document Management System such as IManage
  • Prior with graphics software, a plus
  • A high degree of initiative required to make administrative and procedural decisions and judgments on firm policies and procedures and make recommendations
  • Professional, reliable, flexible and have a positive, can-do attitude.
  • Excellent attention to detail with strong customer service skills and ability to work independently and prioritize
  • Ability to communicate well in both written and verbal communication forms
  • Ability to multi-task and meet required deadlines in a fast-paced environment
  • Proactive attitude and volunteers willingly to take on additional responsibilities and assist with other team members’ projects
  • Ability to maintain confidentiality
  • Ability to work 8:30 – 5:30, with occasional overtime.
